Restrictions on use
Ten Space does not provide data to third parties for the purpose of training public or third party models.
Ten Space does not use artificial intelligence for any purpose defined as "unnacceptable risk" under the EU AI Act.
Where AI is used for purposes defined as "high risk" under the EU AI Act, Ten Space mitigates risk through appropriate safeguards such as requiring a "human in the loop".
Platform use of Artificial Intelligence
Ten Space uses Artificial Intelligence tools and techniques to process some data points supplied by Survey Subjects and Survey Managers.
This data is pseudonymised or, where possible, anonymised prior to being provided to any AI tools.
Video and audio processing
Ten Space uses artificial intelligence solutions to transcribe and analyse video and audio information provided to the Ten Space platform.
Artificial intelligence tools are provided with audio and video files uploaded by survey subjects and survey managers for the following purposes:
- Transcription
- Sentiment analysis
- Key phrase and topic extraction
- Response scoring
Information provided to AI tools for these purposes include the subject's voice and images of their likeness.
Written text processing
Ten Space uses artificial intelligence solutions to analyse and interpret information provided to the Ten Space platform.
Artificial intelligence tools are provided with text-based answers to survey questions by survey subjects and survey managers for the following purposes:
- Sentiment analysis
- Key phrase and topic extraction
- Response scoring
Information provided to AI tools for these purposes include the subject's written text and may also include segmentation or demographic data about the subject.
Segmentation and demographic data may include characteristics such as gender, location, job role, length of service. The list of characteristics is defined by the client in consultation with Ten Space.

Summaries
Ten Space uses artificial intelligence to produce written summaries of surveys, trends and suggestions.
These features use generative artificial intelligence.
Information provided to AI tools for these purposes include the subject's written text, scored responses, transcribed responses and may also include segmentation or demographic data about the subject.
Segmentation and demographic data may include characteristics such as gender, location, job role, length of service. The list of characteristics is defined by the client in consultation with Ten Space.
All data provided for this processing is pseudonymised or provided to AI models in aggregate.
Data residency, storage and retention
Data provided to artificial intelligence tools remains at all times within the UK and/or the European Union.
Where data is transferred outside the UK, transfers are covered by standard contractual clauses.
Data is stored and retained in line with Ten Space's standard data protection policies, which include limitations on data retention.

Bias and hallucinations
Ten Space takes reasonable measures to prevent bias and reduce hallucinations.
These measures include:
- Using pre-trained LLMs that have been assessed independently for their bias
- Careful prompt engineering
- Limiting data provided to AI models to just that required for the purpose
- Pseudonymisation, anonymisation and pre-aggregation of data where possible and as appropriate
- Implementing human review processes
- Allowing humans to manually edit output
Decision making
Ten Space does not use artificial intelligence to make decisions about individuals.
The use of AI by Ten Space is to provide insight to and support humans who are enabled and empowered to make decisions (human-in-the-loop).
Use of data for training
Data provided to AI tools may be used in the training of models for Ten Space and the calculation of aggregated benchmarking data for use by the Ten Space platform and will not be shared with third parties for the training of public or third party models.
